Payment Policy

Card Payment Policy

Last updated: 26 October 2026

About this policy

This policy explains how card payments, verification, refunds and disputed transactions are handled when you book with The Travel Cafe. Please read it alongside our Booking Terms before making a card payment.

Payments & Security

Secure card payments

By making a card payment, you confirm that you have read and accepted this policy and the Booking Terms applicable to your trip. Paying by card does not change the cancellation or refund conditions agreed in the Booking Terms.

Card payments are processed through an independent payment service provider. The Travel Cafe does not directly collect, process or store your payment card details. Card payments are made through a secure payment link generated by our authorised payment service provider and sent directly to your email address once you confirm your preferred payment method. Please do not enter payment-card details or passport numbers into any website enquiry form. Payment is considered received when our payment service provider confirms its success.

The amount and currency payable will be shown or confirmed before payment. Your bank or card issuer may apply foreign transaction, currency conversion or other charges, which are outside the control of The Travel Cafe.

Card payments by travellers

Card payments must be made using a card held in the name of a traveller included in the booking. The cardholder’s name must be consistent with their passport details, allowing for initials and commonly used abbreviations.

The Travel Cafe may request additional verification or inspect the physical card and passport at the start of the trip where necessary. No card details will be recorded or retained during such inspections.

Card payments by non-travellers

Card payments made by someone who is not travelling require prior authorisation and verification approved by The Travel Cafe or its payment service provider, before payment is made.

Additional information may be requested where reasonably necessary to verify the cardholder’s identity and authorisation to make the payment.

Payment verification & security concerns

If payment verification cannot be completed, The Travel Cafe may refer the matter to its payment service provider and delay or withhold travel services until the payment has been satisfactorily verified. Any resulting disruption will be handled in accordance with the Booking Terms and applicable payment service provider procedures.

Where there are reasonable grounds to suspect an unauthorised or fraudulent payment, The Travel Cafe may suspend or cancel the associated booking while the matter is investigated and share relevant information with its payment service provider, financial institutions or lawful authorities where appropriate.

Refunds & Disputes

Refunds to cards

Any refund approved by The Travel Cafe in accordance with the Booking Terms will normally be processed to the original card used for payment, through our payment service provider. Processing times depend on the payment service provider, card network and your bank.

The amount credited to your account may differ from the refund amount processed by The Travel Cafe due to currency conversion rates and charges applied by your bank or card issuer. The Travel Cafe is not responsible for these differences or charges.

Disputed transactions & chargebacks

If a transaction appears incorrect, duplicated or unauthorised, please contact The Travel Cafe promptly so that we can investigate and address your concerns. You may also contact your bank or card issuer directly.

A payment dispute or chargeback does not, by itself, cancel your booking, invalidate the agreed Booking Terms or entitle you to a refund for services already provided in accordance with your confirmed itinerary.

Where a payment is disputed, The Travel Cafe reserves the right to contest the chargeback through its payment service provider or acquiring bank and submit relevant evidence, including Booking Confirmations, itineraries, payment records, acceptance of terms, guest communications and records demonstrating that the agreed services were provided.

If a disputed payment is reversed, any outstanding contractual payment obligation remains subject to the Booking Terms, applicable law and card-network rules.

Nothing in this policy restricts your right to raise a legitimate payment dispute or exercise any rights available under applicable law or card-network rules.
